Section 1: Managing Users Directory

  • Viewing Existing Users: Users can be searched, filtered by role or club access, and sorted. Different access levels for users are described: Default club access, Limited team access, Provisional with limited access, and Deactivated.
  • Exporting Existing Users: Users can be exported in a .csv file format, including details like name, email, phone, address, and activation status.
  • Adding New Users:
    • Individually: New users can be added by providing their email (required), first name, last name, and phone (optional).
    • Via Upload: Users can be added in bulk using a .CSV file, including fields like first name, last name, email, phone, roles, and teams. Options to send activation emails or update existing user information are available during upload.
  • Finding and Merging Duplicates: A User Merge tool helps find known or possible duplicate user accounts, allowing administrators to review and merge them into a "Master" record.

Section 2: Managing Existing Profiles

  • User Account Information: This section details the various tabs available for managing individual user profiles:
    • User Schedule Tab: Combines all club, group, game, practice, and team events for associated groups and teams.
    • User Profile Tab: Used to update a user's contact information (name, phone, mobile operator, address) and includes custom user fields.
    • User Documents Tab (New in 3Q2024): Used for user or custom documents.
    • User Groups/Roles Tab: Used to add club-defined groups and roles to users.
    • User Preferences Tab: Allows users some control over club, group, and team notifications (e.g., announcements, calendar updates, survey requests, event reminders, SMS notifications, registration updates, evaluations).
    • User Payments Tab: Displays payments and invoices for programs where the user was the payee.
    • User Communications Log Tab: Provides a list of communications sent to the user, including date, sender, reply-to, and subject.

  • User Players and Teams: Refers to separate documentation for managing a user's associated players and teams.
  • User Roles and Permissions: Refers to separate documentation for user, team staff, and admin roles and permissions.
