  • Purpose: This document guides Byga Club Admins on managing player records within the Byga system, including adding, updating, merging, and controlling player and contact information.
  • Access: Player management is done through "Directory → Players" or "Admin → Players."
  • Managing Players Directory (Section 1):
    • Adding New Players:
      • Individually (1.1): Requires First Name, Last Name, Gender, and DOB. Optional fields include contact emails.
      • Via Upload (1.2): Uses a .CSV file.
        • Format (1.2.1): Players are uniquely identified by Player ID or a combination of First Name, Last Name, Gender, and Date of Birth.
        • Optional Data: Can include uniform number, school, medical conditions, physician info, contact details (email, first name, last name, phone, visibility), and club info (Team, DOB Verified).
        • Custom Player Data Fields (1.2.4): Additional custom fields can be defined in "Admin → General Settings → Custom Fields" and included in uploads.
        • Uploading (1.2.5): The system maps columns based on headers; mapping can be edited.
        • Updating Info (1.2.6): Uploading new data for existing players (matched by ID or name/DOB) will update missing fields or replace existing data.
        • Custom Onboarding Template (1.2.7): Can use a custom onboarding email flow for newly uploaded player contacts (contact support to enable).
    • Finding and Merging Duplicate Records (1.3):
      • A "Player Merge tool" in "Admin → Players" can find or "Discover" possible duplicates and allow administrators to review and merge them.
      • Merging is irreversible; records are merged into a "Master" record, combining activity and contacts. Players must match by name, DOB, and gender for merging.
  • Managing Existing Players (Section 2):
    • Player Details Tab (2.1): Provides player information, team relationships, and contacts.
      • Can control player eligibility and remove players from teams.
      • Can invite additional player contacts, message them, define their access (Full or Limited/Fan), deactivate, or remove contacts.
    • Player Contact and Player Fan Permissions (2.1.1): Differentiates "Full Player Contact" (broad access to player/team info, messaging, invoices) and "Player Fan" (limited access, primarily for viewing schedules and roster, receiving basic notifications).
    • Changing Assigned Role (2.1.2): Full Player Contacts can change other contacts' roles to "Limited access" or "Grant full access."
    • Limiting Messages (2.1.2.1): Full Player Contacts can restrict messages sent to limited access contacts (using Contact Access Settings).
    • Player Attendance (2.2): Tab to view events where attendance is requested and manage responses. New in 3Q2005, timers/locks appear on events.
    • Player Profile (2.3): Includes standard fields, custom fields (with verification and expiration status), and medical information.
      • Player Date of Birth Document (2.3.1): Manages DOB verification and document uploads.
      • Primary and Secondary Positions (2.3.2): Standardized positions are available.
      • Player Medical Info (2.3.4): For physician info and health considerations.
    • Player Documents (2.4): Tab to upload and access player-related documents.
    • Player Profile Recruiting (2.5): Option for older players to create a college recruiting profile (details in separate document).
    • Player Evaluations (2.6): Stores completed player evaluations accessible by club staff.
    • Player Activity (2.7): Provides a history of the player's club association, including roster movements and tryout registrations.
    • Player Invoices (2.8): Lists all invoices associated with the player (admin access only).
    • Player Data Submissions (2.9): Shows all data collector submissions for the player.
  • Player Roster Controls (Section 3):
    • Player Controls (3.1): From a Team Roster, options to edit player details, add notes, move players to other teams, or remove them.
    • Player Roster Export (3.2): Allows exporting rosters in various formats, including US Club, with options to include photo links (3.2.2) and proof of birth links (3.2.3).
  • Miscellaneous (Section 4):
    • Permissions (4.1): Access to player management features is controlled by "Roles and Permissions" in General Settings, with club-wide and team-scoped permissions.
    • Sports Specific Positions (4.2): Lists primary and secondary positions for various sports (Soccer, Volleyball, Lacrosse, Basketball, Water Polo, Hockey, Field Hockey).
    • Sports Specific Custom Fields (4.3): Notes support for specific custom fields, such as USA Lacrosse Membership Verification.
