Byga Facility Management for Admins Document

  • Purpose: This document provides guidance for Byga Club Admins on managing club facilities within Byga's directory for practice and game scheduling.
  • Managing Facilities Directory (Section 1):
    • Location: Facilities are defined in "Directory → Facilities."
    • Key Characteristics: Each facility has a Facility Schedule, Settings, Availability, Configurations, and Field Game Slots.
    • Field Settings/Details (1.1):
      • Individual facilities can be created with sport-dependent surface options (e.g., Turf, Grass, Hardwood for Soccer).
      • A "Facility link" can be added for mapping apps.
      • Documents and images can be uploaded for each facility, with public or private visibility.
    • Bulk Upload (Page 5): Facilities can be created in bulk using a .csv file with specific formatting.
    • Facility Allocations (1.2):
      • Represent city permits or guidance on when games/practices are allowed.
      • Can be uploaded via .csv (requiring Field Name, Size, Start Date, End Date, and optional Time Range, Notes).
      • Can be created manually on the Allocations calendar tab for a specific field, allowing for "Available" or "Restricted" slots.
      • Capacity (1.2.1): Square yards and player limits can be added to allocations for verification checks in practice schedules.
    • Game Scheduling (1.3):
      • An advanced capability; contact Byga Support for more info.
      • Facility Configurations (1.3.1): Define configurations like 4v4, 7v7, 9v9, 11v11, including parent configurations (for divisible fields), default duration, demand weight, and aliases.
      • Facility Game Slots (1.3.2):
        • Defined on a specific field via the "Game Slots" tab.
        • Can be created manually by clicking and dragging on the calendar.
        • Each slot is defined by configuration, time, and optional notes, and can be hidden.
      • Auto Fill Game Slots (1.3.3): The more common method to create many game slots by selecting days, configuration, start date, and optional duration; can be created in a hidden state.
  • Using Club Facility Information (Section 2):
    • Viewing: Facility schedule, details, configurations, allocations, and documents can be viewed from the main Facility Directory tab.
    • Subscribe/Export: Option to subscribe to the calendar for specific events using that facility.
    • Mobile App (2.1): Club location details, schedules, and documents are accessible via the "Club Directory" on the mobile app.
  • Miscellaneous (Section 3):
    • Permissions (3.1): Administrative access to facility setup is controlled by permissions in "Roles and Permissions" within General Settings.
    • Scheduling Workflows (3.2): Practice Scheduling and Game Scheduling workflows utilize these settings but are covered in separate documentation.
